Minimum Hiring Annual Salary:
$74,836.00
Maximum Hiring Annual Salary:
$78,578.00
To attain the maximum annual salary, employee must meet all minimum qualifications plus:
- 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.
- A combination of related education, on-the-job work experience, certifications and/or licenses that results in a candidate successfully meeting the minimum qualifications of the position, may be considered.
The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

Job Description:

This position is responsible for providing leadership, guidance, and support within the Financial Aid Office to ensure quality, timely and compliant service to students, parents, faculty and staff. The Assistant Director manages daily operations by providing supervision of staff, ensuring adherence to associated rules and regulations, planning and organizing data systems and functions, and participating in strategic planning in conjunction with other financial aid leadership, campus and college administrators to ensure fair, equitable, honest and compliant administration of state, federal and institutional student aid programs.
Supervision:
- Supervise financial aid customer service staff including hiring, training and conducting performance evaluations.
- Develop weekly work schedule for all supervised staff.
- Schedule and facilitate regular meetings with supervised staff to ensure continuity with ever-changing regulations and business practices to ensure procedures are compliant and to deliver quality customer service.
- Maintain currency on all aspects of federal, state, accreditation and institutional regulations and guidelines as it relates to financial aid and translate this information into best practices within the financial aid office.
Managing the Office of Student Employment:
- Develop and administer processes for the Office of Student Employment.
- Develop and manage the system to identify work study opportunities available and the processes required to obtain a job on campus or with approved off-campus agencies.
- Collaborate with Career Services, Human Resources, and the Payroll Office to market employment opportunities, process pre-hire paperwork, notify employers of student eligibility, and to process timesheets.
- Facilitate contracts and perform annual site visits with off-campus employers.
- Develop and deliver training for supervisors.
- Manages the pre-screening process which includes, application process, HR paperwork and placing students in jobs both on campus and off campus.
- Conducts student employment orientations/training sessions for students and supervisors.
- Maintains accuracy of job descriptions.
- Monitors student earnings, student hours, and notifies supervisors of remaining eligible hours.
- Maintains student times and documentation to comply with audit requirements.
- Develops/updates student employment forms, manuals, orientation packets and student/supervisor handbooks.
- Develops community nonprofit business relationships for off-campus employment to comply with the Community Service requirement for the Federal Work Study program.
- Facilitates the off-campus agreement between the nonprofit business and the University.
- Provides on-going communication with department and off campus supervisors.
- Works with Financial Aid, Human Resources, and IT to develop programs within the Workday system to expedite and enhance the payroll and hours monitoring process.
- Performs monthly payroll and hour reconciliation to ensure funds expended do not exceed annual allocations.
Financial Aid:
- Manage the scholarship coordinator and all related scholarship programs.
- Manage student financial aid awards and disbursement of funds.
- Assist Scholarship coordinator making adjustments as a result of over-awards, residency changes, additional fund requests or other school awards.
- Responsible for canceling of student awards as needed.
- Provide counsel to students regarding all aspects of financial aid including need analysis and award calculations using federal, state and institutional policies and procedures.
- Develop office procedures, process flowcharts and internal schedules to ensure timely awarding and reconciling of scholarship funds.
- Oversee internal systems to ensure that students are properly reviewed and packaged in a timely manner and in accord with fund regulations and academic program.
- Work closely with the Aims Foundation developing and reviewing donor scholarship agreements.
- Mange the Foundation scholarship application as it relates to applying and awarding scholarship funds
Satisfactory Academic Progress:
- Manage the Satisfactory Academic Progress (SAP) in Workday (SIS system)
- Assure that the Satisfactory Academic Progress (SAP) policy is updated and meets Federal regulations.
- Assist Executive Director with SAP policies and procedures as they relate to audits and program reviews
- Develop and administer the Satisfactory Academic Progress (SAP) appeal process.
- Solicit faculty and staff to serve on an appeal committee.
- Provide training and guidance to committee on financial aid regulations and options available to students who are not maintaining good financial aid eligibility.
- Ensure SAP for historical students is updated in a timely manner, monitor holds, review and update as needed for end of term processing.
Internal & External Collaboration:
- Participate on committees, in groups, and professional organizations both internally and externally in order to establish collaborative relationships and promote a positive department image.
- Attend meetings as a representative of the Financial Aid Office.
- Assist Financial Aid Executive Director with annual audit preparation and documentation as requested.
- Attend on and off-campus professional development trainings, workshops and conferences to maintain currency in all aspects of federal and state regulations and customer service practices.
Other Duties as Assigned
Minimum Qualifications:
- Bachelor's Degree; plus, three (3) years in Financial Aid or other related experience or an equivalent combination of education and/or work experience. Of the required three (3) years of work experience, one (1) year must be supervisory and/or demonstrated leadership experience.
- This position requires the use of a company vehicle and/or personal vehicle for business travel. The selected candidate must successfully pass an MVR and be insurable under Aims insurance.
- Must be willing to travel and work occasional evenings or weekends.
- Ability to communicate effectively, verbally and in writing.
- High level of positive energy, be a self-starter and a team player with excellent motivational skills and the desire to excel and promote Aims Community College.
- Ability to establish and maintain effective working relationships with employees, students, and other departments of the college, community organizations and external agencies.
- Work independently and with discretion.
- Must possess customer service, technical communication, strong analytical and cognitive skills, and knowledge of federal regulations.
- Must possess office experience, flexibility, and organizational skills, be detailed and thorough.
Preferred Qualifications:
- Three (3) or more years of supervisory experience.
- Extensive working knowledge of Workday - Student Information System and Financial Aid System.
